You set a lead's status from the conversation you are already in: open a chat and use the Lead status section of the side panel. The statuses in that list are your workspace's own words, not ours. Every workspace starts with five, anyone on the team can add more, and admins rename or archive them.
Open the conversation, find Lead status in the side panel, and pick from the Set status list. The change applies to the same lead the CRM board shows, so the board card, the lead's timeline, and any connected ad platform all see one move. There is no separate inbox status to keep in sync with the pipeline.
If the customer has no lead yet, the panel offers Create a lead instead, which opens one against that contact.
Five, seeded the first time anyone opens the CRM board or the side panel:
| Status | Type |
|---|---|
| New enquiry | Still working |
| Qualified | Still working |
| Not a fit | Deal lost |
| Lost | Deal lost |
| Won | Deal won |
These are ordinary rows from the moment they appear. Rename them, archive them, or leave them alone.
Every status carries one of three types, and the type is what the product acts on:
| Type | What it means | What it does |
|---|---|---|
| Still working | The lead is live and being worked | Nothing extra is asked for |
| Deal won | The deal closed with money | Requires a deal amount, currency and close date, see Closing a deal |
| Deal lost | The deal did not happen | Records a close date, no amount |
The type is fixed once the status exists. Changing it later would silently rewrite the history of every lead already carrying that status, so instead archive the status and create a new one with the type you want.
| Action | Who |
|---|---|
| Set a lead's status | Anyone on the team |
| Add a new status | Anyone on the team |
| Rename a status | Admins |
| Archive or restore a status | Admins |
Naming what is happening to a deal is the work, so an agent does not need to wait for an admin to add a status. Renaming is admin-only because it changes what every historical lead reads as.
To add one from a chat, open the status list and use New status: type the name and pick its type. To manage the whole vocabulary, open the CRM board and select Manage statuses.
An archived status stays readable on the leads that already carry it, so your history does not change wording underneath you. It simply stops appearing in the list, so nobody can apply it to anything new. An admin can restore it later.
No. Statuses belong to one workspace. If you run several brands or clients as separate accounts, each one defines its own vocabulary, and a status from one is never visible or applicable in another.
The five pipeline columns (intake, qualified, unqualified, rejected, converted) are unchanged, and everything built on them keeps working: the board, the ad conversion sync mapping, the timeline, reports. A status is the word your team sees; the stage underneath is what the rest of the product reads. A status you create yourself maps onto a stage by its type: Still working sits in qualified, Deal won in converted, Deal lost in unqualified. The five seeded statuses keep their one-to-one stage instead, which is why all five columns still have a name.
